Who operates RookFront
RookFront is operated by Signal Shift Labs LLC, located in California, United States. The initial beta is intended for business users in the United States who are age 18 or older.
Information we collect
We collect account details such as your name, email address, authentication information and organization membership. Passwords are stored as hashes. We store business profiles, website inquiry-source settings and conversation workflow information.
Businesses and their customers may provide names, email addresses, phone numbers, company details and inquiry messages through RookFront. We store submitted contact information, conversations, message content and generated Rook Insight results. If you contact support, we process your contact details and the information in that correspondence.
Technical information may include IP addresses, request paths, timestamps and security or diagnostic events. Temporary request counters help limit abuse.
How information is used
We use information to provide RookFront, authenticate users, verify email ownership, support password recovery, route and organize website inquiries, generate AI-assisted analysis, provide support, troubleshoot and protect the service against abuse.
Business users are responsible for having appropriate rights or permission to submit or collect information about their customers. When you send an inquiry to a business through its widget, that business receives the inquiry and is responsible for its response and its own handling of your information. You can contact that business about your inquiry or contact us for help with a RookFront privacy request.
AI processing
Rook Insight uses OpenAI to help generate summaries, likely intent, urgency, recommended actions and suggested reply drafts. Relevant message content and business-profile context may be sent for analysis, including automatically when a new inquiry is received. Separate contact-record fields are not included in that analysis request, but messages and business context can themselves contain personal information.
Generated analysis is stored with the conversation. Do not submit unnecessary sensitive information, passwords, payment-card details or medical records. AI output requires human review; suggested replies are not automatically sent to customers.
Service providers
OpenAI processes the context used for AI analysis. SendGrid processes recipient addresses and account-security messages for email verification and password recovery. Hosting, storage and other infrastructure providers support operation, security and recovery; email providers also support correspondence with us. Providers have their own data-handling practices, and we do not promise that information is never retained by a provider.
Cookies and tracking
RookFront uses an essential session cookie to keep you signed in. Verification and reset links use temporary single-use tokens. Operational and security logs support the service and are distinct from advertising analytics.
No third-party marketing analytics or advertising pixels are currently installed in RookFront. Click and open tracking are disabled for its verification and password-reset messages. There is no separate advertising-tracking behavior to switch off in response to a browser Do Not Track signal; essential session and security processing still occurs.
Retention and backup copies
Account, business and conversation records are retained to provide the service and maintain the business’s inquiry history. We review valid closure and deletion requests and any need to retain information for security, dispute resolution or applicable legal obligations. There is no automatic account or customer-record deletion feature in the current beta.
Security links expire, operational logs are rotated, and temporary request counters expire or reset. Some expired token digests and session records can remain until cleanup. Providers may keep their own operational records.
Information removed from the live service can remain in historical backup copies. These copies are maintained for recovery rather than ordinary active use. Not all historical copies currently have a fixed automatic expiration, so removal from the live service does not mean removal from every backup. We assess these limitations when handling a request and do not promise immediate deletion from all copies.
Access, correction, closure and deletion
Email support@rookfront.com to request access or correction, account closure or deletion. Requests are reviewed manually. We may need to verify identity, organization authority and the scope of the request before acting, and may coordinate with the business responsible for a customer inquiry.
We will explain the action taken or any applicable limits. Timing depends on verification, scope and applicable requirements; we do not promise a fixed deletion deadline for every record or copy. Additional rights or response requirements may apply depending on your circumstances and applicable law.
Security
We take reasonable measures to protect information, including authenticated organization-scoped access, password hashing and protected session handling. No online service can guarantee absolute security. Keep account credentials secure and report suspected misuse to us.
Children and beta availability
RookFront is intended for business users age 18 or older in the United States and is not intended for children. Do not create an account if you are under 18. Contact us if you believe a child’s information has been submitted so we can review it.
Policy changes
We may update this policy as the product and its practices change. The effective date identifies the applicable version. Material changes will be communicated as appropriate to the change and applicable requirements.
